This Privacy Policy explains how we collect, use, store, and protect information when you use our website, services, training, and products (the “Services”), in accordance with applicable United States and New York State law.
Information We Collect:
Contact details — name, email, phone number, and service address. Pet wellness information — Vital Check observations and, where you choose to provide it, your pet’s medical history, including medications, vitals, vaccination history, and surgical history. Roster information — names of household staff or corporate attendees needed to issue training rosters and certificates. Payment information — processed securely by Square, our third-party payment processor. We do not store full card numbers, marketing & website data, newsletter sign-ups, or basic cookies/analytics when you visit our website.
How We Use Your Information:
We use your information to deliver and schedule Services, build and maintain a preventive wellness schedule and tracking for your pet, issue certifications, process payments, communicate with you, and improve our Services.
Pet Records — Owner Responsibility:
We may review and keep internal notes on your pet’s medical history solely to build a wellness schedule and track preventive care. Pawvention is not a records storage or medical records agency. Keeping complete, accurate, and official records for your pet remains solely the owner's responsibility. Our notes are a planning convenience, not an official medical record.
Sharing of Information:
We do not sell or rent your personal information. We share it only with trusted service providers (such as payment and scheduling tools), with your veterinarian when we coordinate a referral and you consent, or where required by law.
Marketing & Media Consent:
We will not use your pet’s records, photos, or details for marketing, promotional, or testimonial purposes without a separate signed consent form in which you specifically authorize such use. You may withdraw that consent at any time in the future.
Data Security & Confidentiality:
We apply reasonable technical and organizational measures to protect your information. We treat client information as confidential; for private (UHNW) clients, a separate confidentiality/NDA agreement may also apply.
Data Retention:
We retain information only as long as needed for the purposes above or as required by law. You may request deletion at any time, subject to legal record-keeping obligations.
